Position Title:  Senior Secretary
Division:           Early Childhood
Supervisor:       Director
 
Position Summary:  To assist the Director of Early Childhood, Assistant Director & Counselors in the execution of their duties through secretarial and clerical assistance and by upholding the confidentiality of sensitive materials and information. 
 
Qualifications:
  • Bachelor degree
  • Live close to Jinqiao is a plus
  • Shanghai Hu Kou Permit preferred
 Experience
  • 4 years minimum experience with Microsoft Office products-Word, Excel, Access, PowerPoint, Photo Editor, etc.
  • 4 years experience in English/Mandarin/English translation-oral and written
  • 4 years minimum experience in office administration

Duties and Responsibilities:
  1. Perform secretarial duties, as requested by the director and assistant director, including but not limited to:
    1. Typing, filing, copying, notes taking and/or routing of correspondence
    2. Scheduling of appointments for Admin, Counselors and student review team
    3. Answering the telephone, screening calls, and delivering messages as needed
    4. Schedule parent-teacher meetings as needed
    5. Contact parents who are late for pickup and watch their children.
    6. Deliver documents to other departments and pick up mails from school reception.
    7. Assist with lost and found requests.
    8. Provide translation services as needed.
       
  2. Data and file maintenance or management:
    1. Manage Aspen for students records, class schedules, report cards etc.
    2. Prepare and maintain student cumulative folders and records, i.e. file report cards, individual standardized test profiles, etc.
    3. Record monthly time sheets for expat hourly staff.
    4. Maintain employee attendance in Aspen and collect staff holiday plans. 
       
  3. Events planning and organization:
    1. Help coordinate Parent Coffee and Parent Education Events.
    2. Liaison between and assist in arrangements for cratering needed provided by school lunch vendor.
       
  4. Divisional and functional support:
    1. Assist the director, assistant director and counselors with regard to admissions and school leaving procedures and records, i.e. forms, appointments, requesting records, printing report cards, student data placement etc.
    2. Administer minor first aid and oversee sick student movement to nurse as needed.
    3. Coordinate and communicate daily student transportation changes.
    4. Assist in overseeing of summer maintenance plans of the building to ensure proper cleaning and remodeling efforts.
    5. Help oversee the safety components of outside student play-space areas. Help to ensure equipment is safe and clean.
    6. Manage substitute teacher arrangements.
       
  5. Carry out all other assignments, as assigned by the director.
