Position Title:    Secretary

Supervisor:        Principal
 
Position Summary:  To assist the High School Principal, Assistant Principal & Teachers in the execution of their duties through secretarial and clerical assistance and by upholding the confidentiality of sensitive materials and information. 
 
Requirements
  • Bachelor degree majored in English, Administration or related, CET- 4 preferred
  • Shanghai Hu Kou Permit preferred
 
Experience
  • 2 years minimum experience with Microsoft Office products-Word, Excel, Access, PowerPoint, Photo Editor, etc.
  • 2 years experience in English/Mandarin/English translation-oral and written
  • 2 years minimum experience in office administration

Key Areas of Responsibility
  1. Perform duties, as requested by the principal and assistant principal, including but not limited to:
    1. Typing, filing, copying and/or routing of correspondence
    2. Scheduling appointments for Assistant Principal
    3. Answering the telephone, screening calls, and delivering messages as needed
    4. Lead student Daily Announcements and assist with community communications
    5. Meeting preparation
    6. Providing translation as needed
       
  2. Data and file maintenance or management:
    1. Maintain student attendance
    2. Assist with teacher attendance and sub teachers
    3. Maintain HS Building room management system
       
  3. Events Planning and Organization:
    1. Assist with Teacher and Student Orientation
    2. Assist with HS Back to school night
    3. Lead HS Parent Teacher Conference
    4. Lead/Assist Faculty Happy Hour planning
    5. Lead HS monthly birthday breakfast
    6. Lead one-day class field trips
    7. Assist with HS End-of-year Awards Ceremony
       
  4. Divisional and functional support:
    1. Assist with admissions related and school leaving procedures and records, i.e. forms, appointments, requesting records, etc.
    2. Administer minor first aid and oversee sick student movement to nurse as needed
    3. Follow up on requests regarding classroom maintenance, cleaning, guards, setups etc. as needed
    4. Assist with purchasing order distribution. Maintain HS local supply for daily function
    5. Support employee evaluation process including scheduling meetings, collecting and filling forms for Assistant Principal
    6. Lead Fire Drill
    7. Assist with shadowing student arrangements
    8. Lead HS lost and found
    9. Assist with HS Bell schedule
    10. Assist with maintaining HS parent WeChat group
    11. Assist with HS PSO treats
    12. Assist with HS yearbook payment collection and distribution
    13. Lead Overseas orders and domestic orders for HS
      5. Carry out all other assignments, as assigned by the principal
